How we use AI
Spotlight uses AI-assisted tools to support research, ideas, writing, design exploration, coding and production workflows. The tools and workflow depend on the project. AI is a working aid, not a replacement for professional judgment or the agreement we make with you.
People remain responsible
Our policy requires a Spotlight team member to review AI-assisted work before client delivery or publication. Review should match the work: checking facts and sources for content; brand fit and permissions for creative work; and functionality, accessibility, privacy and security for website changes. AI output alone is not approval to publish, change a live system or spend money.
Client information comes first
Our policy is to use only the information needed for the task. Confidential client material requires permission and an appropriate tool and account setup before it is shared with an AI provider. Passwords, access keys, sensitive personal records and restricted client files should not be entered into general AI prompts. Project restrictions and signed confidentiality obligations take priority.
AI services have different retention, training and processing terms. We do not promise that every AI provider has the same settings or that every account excludes training. Ask your project contact before providing sensitive material so we can agree on a suitable workflow.
Accuracy, sources and rights
We do not permit invented testimonials, results, quotations or sources to be presented as real. Factual claims need supporting checks. AI-generated or altered material must not mislead people about a real person, event, product or result. Likeness, voice, copyright and other permissions still matter; AI use does not remove the need to obtain them.
Ownership, licenses and permitted uses of final deliverables follow the project agreement and applicable third-party terms. AI assistance does not guarantee an output is unique, copyrightable or free of third-party rights.
Limits and your project choices
AI can make mistakes. We cannot promise error-free outputs or guaranteed search, advertising or business results. Tell your Spotlight contact if your project limits AI use or requires a particular disclosure or approval. Any agreed restriction should be recorded in the project scope. This policy does not authorize automated hiring or other consequential decisions about people.
Questions or concerns
Contact your Spotlight project lead or info@spotlightmediafargo.com about AI use, an apparent error or a concern about information shared with a tool. Spotlight management is responsible for this policy and reviewing reported concerns. Our Privacy Policy explains this website’s data handling. This policy does not replace your signed agreement.
